Best practices for sending financials with your application
Clean documents get read the day they arrive. Blurry photos, screenshots, and tax returns sent one page at a time go to the back of the queue and come back as a request for the same thing. Here is how to send it so your file moves.

Why this matters more than it sounds like it should
An underwriter reads dozens of files a day. When yours arrives as fourteen photos with no page numbers, nobody can tell whether page 3 is missing or whether the blurry balance reads 47 or 47,000. So it gets set aside and someone emails you for a clean copy. That round trip costs a day or two, more if you are on a jobsite. On a deal where the equipment is spoken for or the price is only held for a week, that is the difference between funding and losing it.
Nothing about your credit changed. You just lost two days to a photo.
Rule 1: PDF, not photos
A PDF holds multiple pages in one file, in order, at readable quality. A camera roll does not.
- One file per document. A three-page bank statement is one three-page PDF, not three files and not three text messages.
- Every page, including the ones that look blank. If the statement says “Page 1 of 7,” we need all seven. Missing pages are the most common reason a file gets sent back.
- Do not crop. Headers, account holder name, statement period, and page numbers are how underwriting confirms the document is real and complete.
Rule 2: Download bank statements, do not screenshot them
This is the big one, and the fastest to fix. Log into online banking, find statements or documents, and download the official monthly PDF. Every bank has this. It takes about a minute per month.
A screenshot of your account activity is not a bank statement. It is missing the bank’s header, the statement period, the beginning and ending balances, and the page count, which are the things that make the document verifiable. Screenshots get rejected almost every time. Send the most recent three to six months, each month as its own complete file.
Rule 3: Tax returns, complete and in one file
A tax return is only useful in full. Page one of the 1040 tells us almost nothing. Send the complete return with all schedules, exactly as filed, as one PDF per return. Business and personal as separate files when the deal calls for both. If your accountant filed electronically, ask them for the PDF copy. It takes them thirty seconds.
If you only have paper: use the scanner on your phone
You do not need to buy or install anything. Both iPhone and Android have a document scanner built in that crops the page, squares it up, and saves a real multi-page PDF.
- iPhone: open the Files app, pick a folder, tap the three-dot menu, and choose Scan Documents. Capture each page, then Save. The Notes app has the same scanner under the attachment button.
- Android: open the Google Drive app, tap +, and choose Scan. Add pages with the + inside the scanner, and save.
- Either platform: Adobe Scan and Microsoft Lens are free and produce clean, searchable PDFs.
A few seconds of setup makes the difference: white paper on a dark, flat surface; even light with no shadow across the page; phone held parallel to the paper; all pages in the same scan. Then open the finished PDF and read the smallest number on the page. If you cannot, neither can underwriting.
Rule 5: Name the files
“IMG_4471.jpg” tells nobody anything. Use a simple pattern: business name, document, period. For example, Acme Grading - Chase statement - July 2026.pdf. Send everything in one email where you can, and say what is missing. If one month is not available yet, tell us instead of leaving a gap we have to ask about.
Before you hit send
- Every file is a PDF.
- Every document is complete, first page to last.
- Bank statements came from the bank, not a screenshot.
- Tax returns include all schedules.
- You can read the smallest number on every page.
- Files are named so a stranger knows what each one is.
- Anything unavailable is explained in the message.
A file that clears that list usually gets a decision in the normal turnaround instead of entering a cycle of requests. It is the cheapest thing you can do to speed up your own approval.
One note on sending documents safely
These documents contain account numbers and, in some cases, a Social Security number. Send them through the secure upload on our application rather than to a personal address, and never over text or social media. If you are unsure whether a request for documents is really from us, call the office number on our site and confirm before sending anything.
The bottom line
PDFs, complete, downloaded from the source, and named clearly. That is the whole method. It costs a few minutes and it is the difference between a file that gets read today and one that gets sent back tomorrow.

Can I just take photos of my documents with my phone?
Use your phone’s scanner instead, which is free and already installed. A plain photo captures shadows, angles, and glare, and each page becomes a separate file with no page order. The built-in scanner in the iPhone Files or Notes app, or Google Drive on Android, crops and squares each page and saves everything as one multi-page PDF.
Why won’t you accept a screenshot of my bank account?
A screenshot of your transaction activity is not a bank statement. It lacks the bank’s header, the statement period, the beginning and ending balances, and the page numbering, which are what let an underwriter confirm the document is complete and authentic. How many months of bank statements do you need?
Typically the most recent three to six months, depending on the program and the size of the request. Send each month as its own complete PDF. If a month is not yet available, say so in your message rather than leaving a gap.
Do you need my whole tax return or just the first page?
The complete return, including all schedules and statements, exactly as filed. The first page alone does not show the detail underwriting relies on. If your accountant filed electronically, ask them for the PDF copy of the full return.
What is the fastest way to scan documents for free?
On iPhone, open the Files app, choose a folder, tap the three-dot menu, and select Scan Documents; it saves directly as a PDF. On Android, open Google Drive, tap the plus button, and choose Scan. Adobe Scan and Microsoft Lens are free on both platforms. Place the page on a flat dark surface with even light and hold the phone parallel to it.
Does sloppy paperwork actually affect my approval?
It does not change your credit, but it costs you time, and on many deals time is what decides the outcome. Incomplete or unreadable documents get set aside and returned as a request for the same item, which typically adds a day or two per round. Clean documents get read when they arrive.
